Administrative Assistant – Samaritan House Training Centre

 General Description

·         To work with all areas of programming of Samaritan House Ministries to ensure a holistic response to the needs of people seeking assistance.

·         Prepare and deliver Age is an Asset program documents and reports.

·         Support the goals and objectives of the Samaritan House Literacy, Computer and Age is an Asset Programs and their participants/learners.

Job Responsibilities

·         Greet people as they come into the Samaritan House Training Centre

·         Direct people to the appropriate contacts or services

·         Answer, screen and forward telephone calls, take messages and provide general information as required

·         Respond to telephone, in person or electronic enquiries or forward to appropriate person

·         Perform clerical duties

·         Schedule appointments using computerized systems

·         Maintain front desk security and confidentiality of client information

·         Deal with emergencies as needed

·         Prepare correspondence, reports, statements, forms, presentations, applications and other documents

·         Provide general information to staff, clients and the public regarding company or program rules, regulations and procedures

·         Photocopy and collate documents for distribution, mailing and filing

·         Sort and file documents according to established filing systems, locate and retrieve documents from files as requested and maintain records of filed and removed materials

·         Process incoming and outgoing mail, manually or electronically

·         Send and receive messages and documents using fax machine or email

·         Assist with administrative procedures such as monthly claims, class schedules, and monthly reporting for the Age is an Asset program

·         Maintain inventory of office supplies, order supplies as required and arrange for servicing of office equipment at the Samaritan House Training Centre

·         Sort, process and verify receipts, expenditures, forms and other documents for the Age is an Asset program

·         Develop and maintain accurate written records of learner progress in all areas of the program, including accurate attendance records

·         Maintain a non-threatening and safe environment for all learners, respecting privacy and individual learning needs

·         Commit to professional development relevant to employment

·         Perform other administrative tasks as assigned and as time permits at the Samaritan House Training Centre

Support of Volunteers

·         Communicate directly with volunteers to organize scheduling and their responsibilities with learners

·         Identify volunteer training and support needs and advise managers so this can be integrated into the volunteer program

Program Material Development

·         Maintain an inventory of resources purchased or otherwise acquired

·         Maintain lesson plans and learning materials as required
