Reporting to the Manager, Development, Manitoba Division, the Coordinator, Services is responsible for delivering consistently high-quality services and supports to a varied and diverse stakeholder base including participants, donors, MS Society members, suppliers as well as internal clients. This position is often the first contact an individual has with the MS Society, making performance critical. 




This position is a position of trust. The incumbent will be required to complete the screening process including completion of appropriate background checks in compliance with the National Screening Measures Policy.






Customer Service


  • Manages the internal telephone system, with attention given to the quality of our automated responses

  • Serves as the primary first contact for visitors to the Westman office

  • Provides ongoing customer service and stewardship for event participants, team captains, sponsors, donors and volunteers; Assists in top fundraiser, participant and team recruitment calls


Event and Program Support


  • In conjunction with Manager, Development, coordinates logistics for the MS Walk, MS Bike such as (but not limited to) third party fundraising and national third-party fundraising

  • Assist in the coordination of event supplies and materials including signage, food, etc.

  • Assist in recruitment, scheduling and stewardship of all event volunteers


Information and Financial Management


  • Manages and completes the processing of signature event participant pledge envelopes, including lump-summing, revenue batching and tax receipting within established timeframes

  • Prepares bank deposits within established guidelines

  • Produces various reports (Sales Force, eCRM, etc.) for staff as required

  • Manages all general and in memoriam gifts, including the timely completion of acknowledgement cards, referral to senior staff as appropriate, input into SF and the preparation of tax receipts

  • Manages and completes the time sensitive processing of paper-based pre-event registrations and pledges

  • Prepares and processes all Credit Card Logs

  • Prepares and processes Mercury Deposit forms

  • Provides first check of all pledge envelopes and pledge sheets

  • Codes invoices and submits to the National Office for payment and performs all necessary vendor and payment follow up






  • Manages the daily incoming and outgoing mail and arranges for couriers and parcel shipping in the most expedient and cost-effective manner

  • Monitors the postage account, ensuring sufficient mailing capacity is available to support the divisional needs.

  • Coordinates and supports office volunteers as needed

  • Manages the inventory of general office supplies, water, coffee, etc.

  • Coordinates and maintains records for staff office space, phones, and office keys/alarm codes

  • Assembles event participants or attendee packages and assists in preparation of materials for various meetings/events

  • Anticipates the needs of internal customers to ensure seamless and positive experience

  • Attends and supports the core MS Society events, e.g. MS Bike, MS Walk, MS Connect Conference, etc.

  • Works with IT to troubleshoot and address Westman office technology issues




  • Other duties as assigned




  • Graduate of a technical and/or business school with at least 2-3 years related experience or the equivalent education and experience

  • Experience working with volunteers and committees

  • Must possess valid driver’s license and have access to a vehicle

  • Effective oral and written communication skills related to a diverse relationship base and often in situations involving high levels of emotion and/or frustration

  • Strong computer skills, particularly Share-Point, database management, Word, PowerPoint, Excel & Outlook

  • Ability to take initiative and work independently, as well as a member of a team

  • Ability to effectively priorize, meet deadlines and problem solve

  • Ability to keep current about the activities of the Society, and to provide accurate and relevant information in response to inquiries within scope

  • Ability to work quickly and accurately


Special Considerations:




  • Office Setting with occasional evening and weekend work

  • Some travel within Manitoba with occasional overnight stays

  • Physical demands of special events include packing, lifting, carrying and loading
