We are currently seeking an organized and motivated Office Administrator to join our team and support our daily operations.

Job Summary:

The Office Administrator will play a vital role in ensuring the smooth and efficient operation of our office. This position is responsible for managing day-to-day administrative tasks, supporting property management activities, and providing excellent customer service to tenants, owners, and vendors.

Key Responsibilities:

  • Serve as the first point of contact for clients, tenants, and vendors, handling inquiries via phone, email, and in-person.
  • Maintain and organize office files, records, and documentation, ensuring all information is accurate and up-to-date.
  • Assist property managers with administrative tasks such as lease agreements, maintenance requests, and tenant communications.
  • Coordinate and schedule property showings, inspections, and maintenance appointments.
  • Manage office supplies, equipment, and inventory, ensuring the office runs smoothly.
  • Prepare reports, invoices, and other documents as needed.
  • Support the accounting team with billing, rent collection, and payment processing.
  • Assist with marketing efforts, including updating property listings and coordinating online and print advertising.
  • Maintain confidentiality of sensitive information and ensure compliance with company policies and procedures.

Qualifications:

  • Proven experience as an office administrator, administrative assistant, or similar role (property management experience is a plus).
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and property management software Yardi is a plus.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Positive attitude, customer service-oriented, and professional demeanor.
