Position Overview
The Administrative Assistant / Receptionist will provide comprehensive administrative and clerical support for the shelter, ensuring efficient daily operations. The individual will be responsible for handling phone calls, greeting and directing visitors, scheduling appointments, and maintaining inventory levels for office supplies. This role requires a high level of professionalism and a commitment to maintaining an organized and effective environment for both staff and residents.
Duties and Responsibilities
- Manage incoming phone calls, directing inquiries and providing relevant information in a courteous and professional manner.
- Maintain and manage schedules by organizing appointments and meetings as directed.
- Perform administrative tasks such as photocopying, faxing, filing, and taking meeting notes.
- Open, sort, record, and distribute incoming correspondence, including faxes and emails.
- Monitor security systems, including cameras and doors, to ensure safe and controlled entry for staff, residents, and visitors.
- Ensure the reception area is tidy, organized, and always welcoming.
- Assist with inventory management, ordering office supplies, and maintaining essential building maintenance materials.
- Use software applications such as Microsoft Word, Excel, Outlook, and others to create reports, memos, letters, and other documents.
- Assist with the preparation and distribution of promotional materials for shelter programs.
- Provide training and support for staff on computer applications and troubleshooting hardware/software issues.
- Assist in organizing and coordinating events, courses, seminars, and workshops, including creating and distributing flyers and event updates.
- Perform additional duties as assigned by the Executive Director.
Qualifications and Skills
- A minimum of 2-3 years of experience in office administration or a related field.
- Proficient in Microsoft Word, Excel, and Outlook.
- Strong problem-solving abilities and the capacity to address challenges effectively.
- Excellent interpersonal and communication skills.
- Strong time management skills with the ability to prioritize tasks and manage multiple responsibilities.
- Ability to work independently as well as collaboratively within a team environment.
- Knowledge of Anishinaabe history, traditions, culture, and community values.
- Clear Criminal Record, Child Abuse, and Adult Abuse Registry Checks.
- Valid Class 5 driver?s license and access to a registered vehicle are required.
