Administrative Assistant
BHP Mechanical Service Group Ltd. is looking for an organized and dependable Administrative Assistant to support our sales, installation, service, and accounting teams.
This role is best suited for someone who is detail-oriented, comfortable handling multiple priorities, able to work closely with staff across different departments, and interested in refining and growing the sales department.

Key Responsibilities
The main focus of this role will be supporting the sales and installation team with administrative tasks, including:
? Preparing and administering customer finance documents
? Tracking, organizing, and administering warranty documentation
? Assisting with quote creation and proposal preparation
? Working closely with sales staff to keep customer information, pricing, and job details organized
? Following up on required documents, approvals, and customer information
? Supporting the installation team with scheduling details, paperwork, and job tracking
? Maintaining accurate records for quotes, warranties, financing, and completed work
Additional duties will include:
? Assisting with accounts receivable tasks
? Helping with customer invoicing and payment follow-up
? Supporting dispatch when needed
? Answering customer calls and directing inquiries to the correct department
? Updating customer files, work orders, and internal records
? Providing general administrative support to the office team
Qualifications
The ideal candidate will have:
? Strong organizational and communication skills
? Good attention to detail
? Ability to manage multiple tasks in a fast-paced office environment
? Comfortable working with customers, technicians, sales staff, and management
? Experience and proficient on computers and new systems
? Previous administrative experience considered an asset
? Experience in HVAC, plumbing, construction, or service-based industries considered an asset
? Experience with accounts receivable, dispatching, or quoting considered an asset
