Technology Solve is seeking a Full-Time Administrative Assistant to join our growing team. We are looking for a highly organized, detail-oriented professional who enjoys working with people, thrives in a team environment, and takes pride in delivering exceptional customer service.
Position Details
- Position: Administrative Assistant
- Schedule: Monday to Friday 8am - 430pm
- Employment Type: Full-Time
- Salary: Based on experience
- Benefits: Comprehensive benefits package
- Vacation: 3 to 4 weeks of vacation based on experience
Key Responsibilities
Client Communication & Administration
- Answer and direct incoming phone calls professionally and courteously.
- Communicate with clients regarding projects, timelines, and scheduling.
- Build and maintain positive client relationships through excellent customer service.
- Follow up with clients regarding outstanding invoices and payments.
Quotes & Invoicing
- Work closely with our technical team to gather information and prepare accurate client quotes.
- Create, issue, and track quotes.
- Generate invoices and ensure billing information is accurate.
- Monitor accounts receivable and assist with collections.
Project Support
- Support and help coordinate ongoing projects.
- Assist with scheduling and tracking project timelines.
- Maintain project documentation and records.
Office Management
- Keep the office organized, efficient, and operating smoothly.
- Manage filing systems, records, and administrative documentation.
- Assist with general administrative duties and special projects as required.
Deliveries
- Perform occasional deliveries and pickups for clients.
- Deliver CVs, project materials, and other documents as needed.
Qualifications
- Excellent verbal and written communication skills.
- Very comfortable speaking with clients, vendors, and team members both in person and over the phone.
- Highly detail-oriented with strong organizational and time-management skills.
- Ability to work collaboratively as part of a team.
- Must take direction well and be eager to learn.
- Strong customer service and problem-solving skills.
- Comfortable using Microsoft Office and other computer software applications.
- Ability to multitask and prioritize in a fast-paced environment.
- Valid driver's license is required.
- Previous administrative experience is considered an asset.
