Accounting & HR Payroll Coordinator
Position Summary
The Accounting & HR Payroll Coordinator will support the financial, payroll, and human resources functions across multiple companies within the group portfolio. This role is responsible for maintaining accurate financial records, processing payroll, supporting recruitment and onboarding activities, coordinating employee documentation, and ensuring compliance with company policies and applicable provincial and federal regulations.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple entities and priorities in a fast-paced business environment.
Key Responsibilities
Accounting & Finance
- Manage day-to-day accounting activities for multiple companies within the group.
- Process accounts payable and accounts receivable transactions.
- Reconcile bank accounts, credit cards, and vendor statements.
- Prepare invoices, purchase orders, expense reports, and journal entries.
- Assist with month-end and year-end financial reporting.
- Maintain organized financial records and documentation.
- Coordinate with external accountants, auditors, and financial institutions.
- Support project costing, job tracking, and budget monitoring where applicable.
- Assist with GST/PST filings and other regulatory reporting requirements.
Payroll Administration
- Process weekly, bi-weekly, or semi-monthly payroll for employees across multiple entities.
- Maintain payroll records, timesheets, overtime tracking, vacation balances, and employee deductions.
- Ensure payroll compliance with provincial labour standards and company policies.
- Administer payroll remittances including CPP, EI, income tax, WCB, and benefits.
- Prepare ROEs, T4s, and other payroll-related documentation.
- Coordinate employee onboarding and offboarding payroll setup.
HR Support
- Maintain employee records, HR files, certifications, and training documentation.
- Support recruitment activities including job postings, interview coordination, and onboarding.
- Assist with employee orientation and company policy administration.
- Track employee certifications, safety training, licenses, and performance reviews.
- Coordinate group benefits administration and employee communications.
- Support HR compliance with employment standards and workplace policies.
Admin Support
- Coordinate office administration and internal documentation.
- Maintain confidentiality of financial and employee information.
- Assist management with reporting, scheduling, and operational coordination.
- Support continuous improvement initiatives and process standardization across group companies.
Qualifications
- Diploma or degree in Accounting, Finance, Business Administration, Human Resources, or related field.
- Minimum 3?5 years of experience in accounting, payroll, or HR administration.
- Experience managing multiple companies or divisions is considered an asset.
- Strong understanding of Canadian payroll regulations and labour standards.
- Proficiency with accounting and payroll software (QuickBooks experience is must).
- Strong Microsoft Office skills, especially Excel.
- Excellent communication, organizational, and multitasking abilities.
- Ability to work independently and maintain strict confidentiality.
Preffered Experience
- Industrial, construction, engineering, manufacturing, or service industry experience.
- Familiarity with project costing and union payroll administration.
- Experience with WCB reporting and safety documentation.
- Knowledge of benefits administration and HR coordination.
