K&J Construction is seeking an organized, dependable, and detail-oriented Office Administrator to oversee the day-to-day administrative and accounting functions of our office
The Office Administrator plays an important role in keeping our operations running smoothly and works closely with management, employees, customers, suppliers, and subcontractors. This position is well suited to someone who is comfortable managing multiple priorities, working independently, and taking initiative in a busy construction environment.
Responsibilities
- Process bi-weekly payroll, including reviewing employee hours and maintaining employee information
- Manage employee onboarding, benefits administration, vacation records, and other HR-related documentation
- Assist with WCB claims, return-to-work documentation, and workplace requirements
- Prepare and send customer invoices, progress billings, and statements
- Enter and organize supplier invoices and assist with accounts payable and accounts receivable
- Record customer payments, deposits, expenses, and other financial information
- Maintain job costing records and project-related spreadsheets
- Prepare purchase orders, proposals, estimates, and other business documents as required
- Coordinate permits, project documentation, deliveries, accommodations, and other project- elated administrative needs
- Communicate with customers, suppliers, subcontractors, employees, and other external organizations
- Maintain organized electronic and physical filing systems
- Coordinate vehicle maintenance, office supplies, and other general office requirements
- Assist with employee recruitment, interview scheduling, onboarding, and internal communications
- Maintain employee training, safety, apprenticeship, and other required records
- Provide administrative support to management and assist with additional tasks as they arise
Qualifications
The ideal candidate will:
- Have previous experience in office administration, bookkeeping, payroll, or a related role
- Be highly organized and able to manage multiple priorities and deadlines
- Have strong attention to detail, particularly when working with payroll and financial information
- Be comfortable working independently and taking initiative
- Have strong written and verbal communication skills
- Be proficient with Microsoft Office, particularly Outlook, Word, and Excel
- Have experience with QuickBooks Online and QuickBooks Time, or be comfortable learning new software
- Maintain confidentiality when working with employee and financial information
- Have strong problem-solving skills and the ability to adapt as priorities change
- Experience in the construction industry is considered an asset
Position: Full-Time
Location: Brandon, Manitoba
Schedule: Monday to Friday, 8am to 5pm
Compensation: Based on experience
