Duties and Responsibilities:
The Office Assistant, Graduate Studies provides administrative support for graduate programs, including approval of online registrations and assistance to current students with registration and program change requests. Serving as a primary point of contact for prospective and current students, the role responds to program inquiries in person, by telephone, and via email. Responsibilities include maintaining graduate student records, tracking student progress, and preparing enrollment, registration, convocation, and overload reports for the Chair and Dean. The position supports the Graduate Education Committee (GEC) through coordination of monthly meetings, preparation and recording of minutes, management of agendas and supporting documents, maintenance of the GEC website, and updating motions reports for Graduate Studies and the Dean's Office. Additional duties include supporting admissions processes for annual program intakes, coordinating faculty timetables, course changes, and room bookings, assisting with project and thesis defense announcements, coordinating convocation activities, and reconciling Annual Progress Reports for all thesis students.
Required Qualifications and Experience:
Completion of Grade 12, plus an Office Administration certificate and 3 years' directly related experience, or an equivalent combination of education and experience, is required. The ideal candidate demonstrates the ability to work effectively in a fast-paced environment with frequent interruptions, collaborates successfully with students, staff, faculty, and members of the wider community, and is a proven team player who is highly motivated and able to work with minimal supervision.
Strong organizational skills are essential, including the ability to manage multiple competing deadlines, accurately prepare reports, track data, and reconcile records. The successful candidate is a self-starter who delivers exceptional service and maintains a high level of professionalism and confidentiality. Proficiency with the Microsoft Office Suite and experience using student information systems are required.
